Basic Purpose
The Sales Administrator I is primary responsible for providing support to the software sales efforts and/or run rate renewal activities for an assigned team. Performs administrative duties for mid-level managers and department professionals. Requires knowledge of company policies and procedures. Has limited access to confidential information. Typically reports to a department manager and operates under moderate supervision.
Essential Duties and Responsibilities
90% Direct Sales Administration Support
New Sales Support
* Preparation and review of paperwork for completeness, accuracy and to assure corporate policies are followed; coordination with internal groups and customer contacts to assist in the resolution of issues in a timely manner; submission of orders to business operations
Paperwork to include: Quotes, License Forms, POFs, SPFs, WAN paperwork, Transfer/Assignment, License Change Forms etc.
Assist with WAN orders ensuring all paperwork is complete.
Assisting in SPF signoff processing between assigned region and ANSYS Sales Management
Assist and support in direct customer orders to obtain proper contractual paperwork for transfers and assignments.
* Responsible for processing temp keys for assigned regional customers
* Process machine changes and ASC changes for the assigned region
* May help new sales reps understand the paperwork process to successfully book an order.
* Maintain accurate data within the CRM system; Generate reports as requested; review for accuracy
* Back up various North American Administrative team members when on vacation and/or sick
* Provide administrative support to the Regional Sales Director and other team members as needed.
Run Rate Support and Coordination
* Responsible for the run-rate (renewal) administrative activities for the assigned direct sales offices within the assigned region.
* Activities may include: quote generation; issuing pro forma invoices; preparation of additional paperwork as required.
Paperwork to include: Quotes, License Forms, POFs, SPFs, WAN paperwork, Transfer/Assignment, License Change Forms etc.
* Frequent interaction with customers and internal groups (sales reps, inside sales, legal, business operations etc) to assure timely submission and processing of orders
* Review of order paperwork for completeness, accuracy and to assure corporate policies are followed
* Maintain accurate data within the CRM system; generate reports as requested; review for accuracy
* Responsible for processing temp keys for assigned regional customers
* Process machine changes and ASC changes for the assigned region
* Assists in collection of accounts receivable for problematic renewal accounts.
* Creates temporary and evaluation license keys when appropriate for distribution to prospects and customers.
* Maintains run-rate renewal forecast information in the CRM system for North American Sales Management reporting purposes.
* Back up various North American Administrative team members when on vacation and/or sick
* Provide administrative support to the Regional Sales Director and other team members as needed.
10% Other Duties As Assigned
* Special project planning (organizing & analyzing data); research activities as requested.
* Assist with regional marketing seminar activities
* Coordinates department meetings; arranges use of conference rooms
* Other tasks as assigned
Essential Education, Skills, and Environment
Education and Work Experience
* Associate degree in business or secretarial science (two year program); bachelor's degree in business or liberal arts desirable. Typically has 18 months to three years of experience in administrative/executive secretarial positions in a corporate setting.
Specialized Knowledge and Skills
* Knowledge of administrative practices and procedures.
* General communication and interpersonal skills.
* Must have working knowledge of presentation and spreadsheet software.
* Professional appearance and presentation.
* Able to handle confidential information.
* Detail oriented.
Equipment and Applications
* PCs, word processing, spreadsheets, and presentation software.
Work Environment and Physical Demands
* General office environment.
* Moderate levels of stress may occur at times, with occasional long hours.
* Finger dexterity and visual acuity required to process orders in system.
* Must be able to lift up to 10 lbs occasionally.
