Executive Assistant I - Orthopedics

Provide a wide variety of administrative support to the Chief of Orthopaedics and the Department Leadership team. Works closely with and supports all department providers with administrative matters. The Executive Assistant works under the direct guidance of the Practice Manager.
Job Purpose: Maintains appointments and meetings for the Chief of Orthopaedics and sends out meeting reminders and agendas to appropriate department personnel. Coordinates and maintains professional activities as directed by the Chief of Orthopaedics. Prepares PowerPoint presentations, sets up meeting rooms and media technology as requested. Organizes and maintains personal files for the Chief of Orthopaedics including, but not limited to, professional journals, research, media presentations, education materials, and correspondence. Orders business equipment and supplies for the Department of Orthopaedics - all sites. Prepares purchase requisition forms and check requests, and ensures timely payment to vendors, including employee reimbursements. Performs follow-up as needed. Types and distributes minutes as appropriate. Attends staff meetings and coordinates Agenda with Chief of Orthopaedics. Maintains Departmental files including provider personnel files. Keeps attendance records for physicians and maintains master time off spread sheet. Maintains credentialing files for all physicians within the Department. Ensures that licenses, registration and malpractice is up to date and files are complete. Works in collaboration with the Medical Staff Office. Coordinates the on-boarding efforts for all student rotations (medical, PA, NP, etc.) into the Department in accordance with CHA medical student process and policy. Arranges for completion of necessary paperwork. IT training, ID badges, system access, email accounts, etc. Assembles data, types, collates and distributes reports as needed. Works in collaboration with the CHA Department of Quality to ensure timely preparation, reporting, and data collection for departmental Q/A measures. Maintains files of various Department of Orthopaedics meetings, memos, and correspondence. Serves as a liaison between Department of Orthopaedics and Executive Offices.
Qualifications/Experience: One to three years business experience, with healthcare experience in similar role preferred. Education/Training: High School Graduate, Bachelor's Preferred. Other Skills: Excellent Microsoft Office skills (Outlook, Word, Excel, PowerPoint). Ability to work with confidential information.
